FINANCE & OWNER REPORTING | OWNER-CONTROLLED MONEY, CLEAR MANAGEMENT INFORMATION

Financial Visibility Without Giving Up Control of Your Revenue

Owners should not have to surrender control of property revenue in order to receive professional bookkeeping, financial controls and management reporting. Bliss Spaces is structured so that guest revenue and other property income are directed to accounts controlled by the owner. Bliss Spaces does not receive, hold or take custody of that revenue.

The Financial-Control Principle

The operating model separates financial administration from custody of money. You retain control of the accounts while receiving the agreed financial administration and reporting support.

Revenue Goes Directly to the Owner

Accommodation revenue, deposits, balance payments and other property income should be directed into owner-controlled bank, merchant, payment-gateway or platform accounts according to the agreed system. Bliss Spaces does not become the recipient of property revenue.

Bliss Spaces Does Not Hold or Move Owner Funds

Bliss Spaces does not operate as a collection account, payment intermediary or custodian of the owner’s money. It does not withdraw, transfer or pay owner funds unless a different legally documented arrangement is separately established with appropriate safeguards; that is not the standard service described on this page.

Payments Are Prepared for Owner Approval

Invoices and payment schedules can be checked, coded and presented with supporting documents. The owner or an authorised owner representative approves and executes the payment through the owner-controlled banking process.

The Owner Retains Banking Authority

Bank accounts, payment gateways, merchant facilities and approval credentials remain under documented owner control. Appropriate view-only access, reports or exported records may be provided to the finance team where the systems support them.

Why Owners Need More Than a Bookkeeping Summary

A list of transactions may be accurate and still fail to explain the business. Owners need to understand where revenue came from, which expenses changed, whether costs are proportionate, how the property compares with its budget and what action is required. Revenue appears across OTAs, direct bookings, tour operators, payment gateways and property records without one reconciled view. Supplier invoices, payroll-related costs and operating purchases are recorded inconsistently or too late to support decisions. Owners see a bank balance but cannot separate timing differences, future obligations and genuine operating performance.

Monthly reports provide totals without explaining the movement in each material revenue or expense line.

Departments consume resources without clear budgets, coding or responsibility for variances.

Payments depend on informal messages rather than a documented review and owner-approval process.

Year-end information must be reconstructed because monthly records were incomplete or unreconciled.

Bookkeeping and Management Accounts

The service creates a consistent financial record from the approved source documents and system information available for the property. The chart of accounts, cost centres, coding rules and reporting period are agreed so that the owner can compare like with like over time.

Transaction Recording and Coding

Record and classify approved revenue, commissions, refunds, supplier invoices, operating expenses and other agreed transactions against consistent accounts, departments and properties.

Source-Document Discipline

Maintain an agreed process for invoices, receipts, credit notes, statements, contracts and approvals. Missing, duplicate or unclear items are identified rather than silently assumed.

Revenue Records

Bring together information from the PMS, online booking system, OTAs, direct reservations, tour-operator accounts, payment gateways and other approved sources to create a traceable management view.

Expense Records

Code operating costs by meaningful categories and, where useful, by department or activity so owners can distinguish normal operations from unusual, capital or owner-specific items.

Monthly Close

Use an agreed close timetable for completing entries, obtaining missing documents, reviewing reconciliations and issuing management accounts with analytical commentary.

Year-End Management Pack

Prepare an annual management summary and supporting schedules from the completed monthly records. Statutory accounts, tax returns and audit work remain with the owner’s appropriately qualified external professionals unless separately and lawfully engaged.

Monthly and Annual Profit-and-Loss Reporting

The principal report is not simply a Profit and Loss statement. It is a management explanation of the property’s performance. Monthly and annual P&Ls can be structured so each material revenue and expense line is visible, comparable and accompanied by clear analysis.

Revenue-Line Analysis

Analyse relevant lines such as accommodation, food and beverage, experiences, transfers, events, other income, discounts, commissions, refunds and channel-related deductions, subject to the property’s operating model and data.

Expense-Line Analysis

Review payroll-related costs, food and beverage cost, utilities, maintenance, housekeeping, guest supplies, sales and marketing, commissions, technology, professional fees, transport, administration and other agreed categories.

Budget and Prior-Period Comparison

Compare actual performance with budget, forecast, previous month, year-to-date and an appropriate prior period where the information is reliable and comparable.

Variance Commentary

Explain material movements, timing differences, one-off items, missing information, operational causes and risks. The objective is to identify what the numbers mean and what action may be required.

Owner-Level Summary

Present the headline result, material changes, exceptions, cash considerations and decisions in a concise summary, supported by the detailed P&L and schedules.

Operating Budgets and Forecasts

Budgets convert the property plan into a financial framework. They should reflect realistic capacity, seasonality, pricing, channel costs, staffing, utilities, maintenance, supplies, contracted commitments and owner priorities, not an arbitrary growth percentage.

Annual Operating Budget

Build the agreed revenue and expense plan by month and meaningful department, recording key assumptions and matters requiring owner approval.

Rolling Forecast

Update expected performance when bookings, rates, operating conditions, costs or owner decisions materially change. A forecast is a current outlook, not a rewritten budget.

Cash Requirements

Identify expected payment timing, major obligations and potential funding requirements using the available information, while keeping the owner in control of the bank account and payment decisions.

Scenario Planning

Where useful, test credible scenarios such as slower demand, different rate outcomes, staffing changes, maintenance projects or changes in channel mix.

Capital and Major Maintenance Visibility

Separate material projects and capital items from routine operations where appropriate, with clear assumptions and owner-approved treatment.

Revenue and Expense Monitoring

Monitoring should identify exceptions early enough for the owner and management team to act. The finance function works with reservations, commercial and operations teams so that reported figures can be traced back to business activity.

Revenue Completeness

Compare booking and sales information with relevant PMS, channel, gateway and bank records to identify missing, duplicated, delayed or unexplained items within the agreed access and data limitations.

Commission and Channel Costs

Monitor recorded commissions, payment costs, promotions and other acquisition expenses so gross revenue is not mistaken for net commercial contribution.

Expense Movement

Track material costs and unusual changes by account, supplier, department or period; request explanations and supporting records where needed.

Commitments and Timing

Distinguish recorded expenses, pending approved commitments, prepaid items, deposits and timing differences when the source information permits.

Exceptions and Follow-Up

Maintain an agreed process for unresolved differences, missing documents, policy exceptions and matters requiring the owner’s decision.

Reconciliation Oversight

Reconciliations test whether independent records agree. They are a core financial control because unresolved differences can conceal errors, omissions, timing issues or process failures.

Bank and Payment-Gateway Reconciliations

Prepare or review reconciliations using owner-provided statements, view-only access or approved exports, while leaving transaction authority and credentials with the owner.

PMS, online booking system and OTA Reconciliations

Compare relevant reservation, settlement, commission and cancellation records with the management books and identify differences for investigation.

Supplier and Payable Reconciliations

Check supplier statements, invoices, credits and payment status where applicable before amounts are included in an approval pack or reported as outstanding.

Receivable and Partner Accounts

Monitor approved credit accounts and tour-operator balances, ageing and follow-up responsibilities where the property extends credit under owner-approved terms.

Review agreed clearing, deposit, advance, tax-related and other balance accounts for unsupported or ageing items, with specialist advice obtained where required.

Payment Preparation and Owner Approval

The payment process is designed to support control without transferring custody of money to Bliss Spaces. The finance team prepares the information and checks; the owner retains the final approval and payment action.

Invoice and Support Review

Check that the invoice, receipt, contract, purchase support or other agreed evidence is present and that the item is coded consistently.

Authority and Budget Check

Confirm the item falls within the agreed approval structure, budget or authorised exception pathway. Questions are escalated rather than approved by assumption.

Payment Schedule

Prepare an owner-facing schedule showing payee, purpose, amount, due date, account coding, supporting reference and any matter requiring attention.

Owner Approval

The owner or authorised owner representative reviews and approves, rejects or queries each payment according to the agreed process.

Owner Executes Payment

Payment is made from the owner-controlled account by the owner or an authorised person. Bliss Spaces does not take custody of funds, use the owner’s banking credentials or execute the standard payment flow.

Record and Reconcile

Cash-Control Systems and Financial Controls

Some properties still receive limited cash or incur small on-site expenses. Where this exists, the owner appoints the authorised cash custodian and defines limits. Bliss Spaces can design and monitor the process without becoming the owner’s bank or taking custody of general revenue.

Segregation of Duties

Separate ordering, receiving, recording, approving and paying where the property’s team size permits; document compensating owner review where full separation is impractical.

Approval Limits and Reserved Matters

Define who may request, verify and recommend expenditure; identify matters that always require owner approval.

Petty Cash and On-Site Collections

Establish owner-approved float limits, receipts, counts, replenishment and reconciliation procedures for money held by the owner’s authorised property custodian, not by Bliss Spaces as revenue recipient.

Procurement and Receiving Evidence

Connect purchase requests, quotations where required, delivery confirmation, invoices and payment approval to reduce unsupported expenditure.

Access and Change Controls

Document ownership and access for accounting, PMS, online booking system, OTA, gateway and reporting systems; review material changes and remove obsolete access promptly.

Exception Reporting

Report missing evidence, repeated policy departures, unreconciled balances and unusual transactions through the agreed escalation pathway.

Departmental Cost and Profitability Analysis

Departmental analysis helps owners see which activities create revenue, consume resources or require management attention. The structure should be proportionate: a private villa does not need the same reporting architecture as a multi-department hotel.

Rooms or accommodation revenue and directly related channel costs

Food and beverage revenue, consumption and cost indicators where reliable source data exists

Experiences, transfers, events and other operating activities

Housekeeping, maintenance, utilities and guest-supply costs

Sales, marketing, reservations, technology and distribution costs

Payroll-related costs by useful department or function

Shared, administrative, owner-specific, capital and exceptional items presented separately where appropriate

Analysis should support decisions about pricing, purchasing, staffing, packages, maintenance and service design. It should not create false precision where allocation data is incomplete or assumptions are subjective.

Reporting Calendar and Owner Communication

The reporting timetable, source deadlines, owner review and decision pathway are agreed at the start. A typical framework may include the following, adjusted to the property and scope.

Routine Working Controls

Transaction recording, document follow-up, payment preparation, revenue checks and exception monitoring according to the agreed operating rhythm.

Monthly Management Pack

Owner summary, P&L, budget or forecast comparison, revenue and expense analysis, reconciliations, outstanding matters, key risks and required decisions.

Quarterly or Periodic Review

Review patterns across several months, forecast changes, departmental performance, control issues, major commitments and action progress where included.

Annual Management Review

Provide the annual P&L and analytical summary, budget outcome, material movements, unresolved items and inputs required for the next plan and external year-end process.

Owner Queries

Maintain a clear contact and response pathway through the assigned Finance Executive, with escalation to the Head of Finance for material, unusual or policy-level matters.

What This Service Does, and Does Not, Provide

Management Bookkeeping and Reporting

Bliss Spaces can provide the agreed operational bookkeeping, management accounts, budgets, forecasts, reconciliations, controls, payment preparation and owner reporting described in the engagement.

No Custody of Revenue or Owner Funds

Property revenue is directed to owner-controlled accounts. Bliss Spaces does not receive, hold, withdraw, transfer or make standard payments from owner funds. The owner or authorised owner representative approves and executes payments.

Not an Audit or Assurance Engagement

The work supports hospitality management decisions; it is not an independent audit, review, assurance opinion or forensic examination unless separately performed by an appropriately qualified and independent professional.

Statutory Accounting, Tax and Legal Boundaries

Tax returns, statutory financial statements, audits, company-secretarial work, legal advice and other regulated services remain with appropriately qualified advisers unless separately and lawfully engaged. Bliss Spaces can coordinate information with owner-appointed advisers within the approved scope.

Dependence on Complete and Accurate Information

Reports and analysis depend on the accuracy, completeness and timing of records supplied by owners, property teams, banks, platforms, suppliers and systems. Limitations, assumptions and unresolved differences should be disclosed.

No Guarantee of Profit or Financial Outcome

Budgets, forecasts and recommendations are management tools, not guarantees. Actual results depend on demand, pricing, operations, owner decisions, costs, investment, market conditions and other factors.
